Tuition accounts are expected to remain current. Payment issues must be addressed promptly and consistently, with care for families and responsible financial oversight.
1. Payment Issues and Parent Communication
The Academy Director must promptly notify the Accounting Coordinator of declined payments, past-due tuition, or other payment concerns. The Accounting Coordinator serves as the primary contact for payment-related conversations with parents and as a resource for Academy staff.
2. Resolution and Payment Arrangements
Routine issues may be resolved at the Academy level by updating payment information or retrying a declined payment. Outstanding balances should be resolved promptly. Extended payment arrangements are exceptions and must be coordinated with the Accounting Coordinator and communicated to the Director of Crosspoint Academies and Kids.
3. Escalation
The Accounting Coordinator must notify the Director of Crosspoint Academies and Kids and coordinate follow-up when:
- An account cannot be brought current within the month.
- A payment arrangement is not followed.
- The outstanding balance continues to increase.
- A family does not respond to follow-up.
- An account reaches 30 days past due.
Thirty days past due is an escalation point, not a grace period.
4. Refunds
Refunds may be issued only after the original payment has cleared and at least 10 business days have passed since receipt. Unusual circumstances must be reviewed with the Accounting Coordinator before processing.
